Al-Ajyal School Terms and Conditions
At Al-Ajyal School of Arabic we have outlined our terms and conditions that must be adhered to by all parents and pupils. Please read this carefully. Failure to meet the standards of Al-Ajyal School within the following points may mean the rejection of application or termination of contract.
Attendance & Punctuality
- All pupils must arrive on time for a 9.45am start. For safety and security reasons doors will be closed at 10.00am.
- If parents or pupils are expecting to be late, parents must immediately inform the school administration by calling 07950 541411.
- Parents must ensure their child(ren) are collected promptly for home time. Parents will not be allowed to take their child before class time is over unless the school administration is informed beforehand.
- Parents must inform the administration if someone other than those persons named on the registration system is to collect your child.
- Pupils who have a record of being late or absent of 3 times or more without a valid excuse may be taken off the register, if this happens you will not be refunded your fees for that term.
- Absent pupils should not expect the teacher to go over missed lessons. However, they are expected to work with their parent to catch up on the missed lessons.
- Parents are required to provide a written note if their child is permitted to leave on their own. This includes parents who wish to arrange a meeting place outside the school premises.
- Parents must ensure that pupils bring the necessary books and stationary to class.
Health and Safety
- Our staff will not be able to administer any medication whatsoever.
- Drinking water, fruitjuice and fruits and other snacks maybe be provided by the parents.
- Parents must state on the registration forms if their child has any allergies or medical requirements.
- Pupils must bring their own packed lunch, which should include a bottle of water. Pupils are not permitted to leave the school premises to buy lunch or go home for lunch.
- There will be no warming up facilities (i.e. microwave or kettle) to heat food. Therefore, please ensure your child's lunch does not require heating or refrigerating.
- Parents should advise the school in writing of any dietary requirements or allergies. We will take reasonable care to ensure that a child with a food allergy or intolerance does not come into contact with certain foods.
- Parents must inform the School if the child has any known learning difficulty or special educational need.
- Parents must inform the School if the child has any known medical condition, head lice, health problem or has been in contact with infectious diseases. The child must not be brought to School if unwell.
- At Al-Ajyal School we do like to promote healthy eating. Therefore, we highly recommend for any food for break times or lunch to be healthy and nutritious, keeping crisp and chocolate to a minimum and pupils should not bring fizzy drinks or sweets to the school.
- A first Aider will be at hand at all times.
Payments, Fines and Refund Policy
- Registering your child means you have reserved a place for the whole year and agreed to pay the full fees regardless of any change in your personal circumstances.
- The fees must be paid in full at the beginning of the year. If you have any issues paying in full please speak to our school treasurer Mrs. Sahar Gamgoum.
- Once registered (whether new or continuing student), you have committed to bringing your child to Al-Ajyal school for the full academic year and accepted all terms and conditions.
- You are liable to pay the full fees of the academic year in which your child is enrolled, regardless whether the child attends 0 (zero) days, one day, or full duration. We can't refund you any missed days if your child is absent for any reason.
- Fees are reviewed annually and are subject to change depending on inflation and other circumstances.
- Refunds maybe given only in the following circumstances:
- If Al-Ajyal, in unforeseen circumstance can no longer provide the service of teaching your child.
- Your written request with valid reason has been reviewed and accepted by the Head teacher and a refund was approved by the management of the school.
- Please note when a refund request is made to Al-Ajyal School we will look into whether the Parent is eligible for a refund, change in one's circumstance or personal situation will not always be a valid reason for refund.
- We take vandalism very seriously. Damage to the School's property will lead to fines depending on the extent of the damage.
Complaints/ Concerns Procedure
- We endeavour to always improve our service. If you do have any complaints, suggestions or concerns, please speak to the school administration or the Head Teacher by calling 07950 541411 or sending an email to [email protected]. We will respond within 5 working days or before the next class where possible.
- Speaking to Supervising Staff, Teachers or Teaching Assistants does not constitute to registering a concern or complaint. All such matters must be directed to the school Administration or head Teacher.
- All teachers will not be available to speak nor discuss any matter at school drop off as they will be solely focusing on preparation of lesson and ensuring reception of children, doing so will cause disruption and impedes the safety of the children. If something urgently needs to be discussed with the class teacher, please see the class teacher after the school day has finished at 2pm. If you require to speak to the class teacher on a matter that will take more than 10 minutes to discuss please arrange an appointment by contacting Administration on 07950 541411.
- There will be an opportunity to discuss your child's progress by speaking directly to his/her teacher in parent's evening.
- Parents are requested to notify us of any changes to your personal details such as a change of address, telephone number or e-mail address. If you do not notify us we will not be held responsible for any miscommunication in passing on important information such as your qualification or certificate.
Al-Ajyal School reserves the right to change these terms and conditions at any time without prior notice.
